BOARD OF DIRECTORS 2019-2020

Annually we vote on our Board of Directors team. Our Board Members are all volunteer, and often lead busy lives, and so we ask them to sit only for 1 year terms - voting happens each August. If there is a vacancy, we will share that posting at other times, for a member to come on to the Board for a shorter term, until the next August vote. We require a minimum of 5 members, unless an emergency circumstance arises. We are always interested in new members joining the team and continuing our vision to help the Standardbred breed! All Board positions are voted on via an anonymous public vote held over a 2-day period on a secure voting website.

How It Works:

(1) Submit your Letter of Intent

(include the position you are interested in, your previous history & why you want to join the Board)

(2) The details included on your letter of intent will be used on the voting form

(3) All letters must be received by August 1, 2019 at 6:00pm. 

(4) A vote will be held for 48 hours between August 12 and August 23, with the voted Board announced September 1, 2019.

FREQUENTLY ASKED QUESTIONS

(1) Can I apply for multiple positions?

 Yes, you can apply for up to 3 different positions. Please list in the order you are most interested in. If you are voted in for more than one position, we will take your top pick first.

2) Are all positions available?

 Yes, they are! While our current members are welcome to re-submit nominations, anyone can apply. It keeps it fair & in the best interest of the organization!

3) How much of a commitment do I need?

 Each position has a different commitment level, which is included in the descriptions below. 

4) Do I need to travel or live in a certain area?

 No! Our meetings are held online via phone or or video conference. Our Board Members are located across Ontario, you simply need to be available in your area.

POSITIONS

PRESIDENT

Be the “face” of the organization for public and private matters and be willing and dedicated to making the organization successful. Must be a dedicated and committed person to being not only a team player, but a hard-working individual.

- Will ensure that all members are aware of, and fulfill their responsibilities
- Will ensure that all members are accountable for their performance
- May delegate specific duties to other members or committees when appropriate
- Is the signing officer for official documents on behalf of the organization
- Will ensure that the organization maintains positive and productive relationships
- The President will serve as the primary spokesperson for the organization
- Assists in handling any inquiries via email and social media
- Will be in charge of handling the adoptions and intake of all horses in the program

- Will actively participate in a minimum of 5 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 15 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year.

VICE - PRESIDENT

Serve as a “second” to the President and work closely with them to ensure that the organization is running smoothly.

To pick up any additional needs that the President is unable to carry in their workload.

- Will act as the President in his/her absence
- Preside over meetings, and propose new policies & committees to the Board
- Will report to, and work closely with the President to assist with his/her duties
- Perform duties assigned by the President
- Be responsible for monitoring committees, and assuring organizational goals are met

- Will actively participate in a minimum of 4 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the
achievement of the organization’s goals.
- Will dedicate a minimum of 8 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year.

SECRETARY

Be in charge of all paperwork for the organization, including all paperwork regarding the horses coming in and leaving the program.
Will also be in charge of the main handling of emails and social media inquiries. 

- Responsible for ensuring that accurate and sufficient documentation meets legal requirements
- Records minutes of meetings ensures their accuracy & availability to the Board
- Maintains membership records, and fulfills any requirements as a Director
- Ensures that official records are maintained of all organization goings-on
- Ensures all adoption and equine files are submitted and up-to-date
- Handles the daily inquiries via email and social media

- Assists the President with handling adoption and foster inquiries and intake

- Will actively participate in a minimum of 2 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 15 hours per week to organization business.

TREASURER

Be in charge of all finances regarding the organization and keeping accurate financial record, as well as working closely with all committees to create workable budgets. 

- Oversees the management and reporting of an organization’s finances
- Manages financial records, including all income and expenses
- Develop an annual budget
- Reports to the Board of all financial goings-on at each Board meeting

- Will actively participate in a minimum of 2 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 8 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year.

MARKETING DIRECTOR AT LARGE

Be a voice of leadership in the organization and work closely with the marketing and fundraising committees to oversee that the organization maintains a good spotlight and finds new ways to market the program.

- Identifies opportunities within the fundraising & marketing committees
- Is proactive & visionary
- Creates & presents reports on all marketing goings-on in Board meetings

- Will actively participate in a minimum of 4 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 4 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year

FINANCE DIRECTOR AT LARGE

Will work with the Treasurer to create and manage budgets, as well as be the main director in researching grant funding.
Will act as the Treasurer in his/her absence. Will take a lead role for Grant Funding.

- Identifies opportunities within the financial & fundraising committees
- Is proactive & visionary
- Works with the Treasurer to create financial budgets and goals
- Be the main Director in charge of researching grant opportunities

- Will actively participate in a minimum of 2 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 4 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year.

FUNDRAISING DIRECTOR AT LARGE

Be in charge of working with the Fundraising Coordinator to ensure that all fundraising activities are running smoothly.

Will take a lead role for Fundraising.

- Is proactive & visionary
- Works with the Board and Fundraising Team to plan & monitor fundraising activities
- Explores new areas of potential fundraising initiatives & presents them to the Board

- Will actively participate in a minimum of 5 fundraising activities each year.
- Will work in good faith with fellow board members and volunteers, towards the achievement of the organization’s goals.
- Will dedicate a minimum of 6 hours per week to organization business.
- Must run a minimum of 1 fundraising event per year
